AV support

AV Support in Exeter IT manage the AV services in centrally managed teaching rooms.

Multiple professional services work together to ensure the learning space environment is effectively supported and governed by the Learning Spaces Management Group (LSMG).

The AV Support Team provide AV support for the daily operation and room attributes of teaching, learning and study spaces including PC cluster rooms at our Exeter campuses.

Core Service Hours: Monday - Friday 0830-1830. Outside of these hours will be charged at our technician hourly rate (revised annually).

The AV Support Team do not provide an ‘on call’ out of hours service. If out of hours cover is required, this must be booked with appropriate notice and is chargeable.

NOTE: It is strongly advised that out of hours sessions with VIP’s in attendance, should have AV support booked to mitigate any issues.

Most services do not incur a charge from AV Support. Technician bookings for out of hours must also be covered and there is a late cancellation policy in place. If a charge is expected you will be informed and asked for your budget code as part of the booking.

* Extended: For Monday- Friday excluding weekends, bank holidays and university closure days. This will incorporate ‘dead-time’ to the start of booking plus set-up and clear-down time. Dead hours are those outside of core support hours but before an event start (for example, technician required on a Friday from 1900-2000 should be booked for 1 and a half hours, this includes the dead time from 1830-1900). Time booked outside of Extended hours must be negotiated with AV Support and will be calculated at Weekend rates.

* Weekend: this is 0700-2000 Saturday or Sunday with a minimum booking of 4 hours and maximum booking of 8 hours. The booking must incorporate adequate set-up and clear-down time. Time booked outside of Weekend hours must be negotiated with AV Support and will be calculated at Bank Holiday rates.

* Bank Holidays & University Closure Days: this is 0700-2000 with a minimum booking of 4 hours and maximum booking of 8 hours. The booking must incorporate adequate set-up and clear-down time. Time required outside of Bank Holiday hours must be negotiated with AV Support and a bespoke charge will be incurred but support will only be offered if staff are available to cover.

Minimum Notice periods help us to secure and confirm your booking (all essential details must be supplied by the minimum notice period or your booking cannot be secured).

Requests are handled on a first come first served basis and are dependent on available staff resources (maximum booking limits are in place).

Consideration of cancellation notice allows us to reallocate staff and equipment resources. Your help in achieving this is appreciated.

VIP booking:

  • For high profile/VIP events additional notice should be given to allow adequate time to plan and gather all requirements pre-event.
  • Where resources are reallocated to an urgent VIP request, pre-secured bookings may be subsequently adjusted by AV Support you will be notified of any changes, every effort to minimise impact and to consider alternative solutions will be taken.
